One shared source of truth for open orders and available stock

Dealer & inventory system for a Jamnagar trading house
A phased operations system that replaced spreadsheet stock books, WhatsApp order chasing and end-of-month reconciliation pain for a local manufacturing and trading business.

The problem.
Orders, dealer balances and dispatch status lived across Excel files, Tally exports and WhatsApp groups. Floor staff spent hours reconciling stock; owners only saw a clean picture at month-end — often after a miss.
What we built.
- Dealer order capture with role-based access for office and field staff
- Live stock view tied to dispatch status instead of a weekly spreadsheet dump
- Simple approval flow so managers could clear exceptions without another chat thread
- Gujarati / English orientation sessions so the floor team could run day one without IT on call
How we worked.
- On-site discovery of how goods and approvals actually moved — not a generic ERP questionnaire
- Ship the highest-friction module first (orders + stock) before expanding to reporting
- Keep Tally in the loop during transition so billing did not freeze mid-build
- Weekly demos with the owner and ops lead until the workflow stuck
Outcomes
What changed in the day-to-day.
Fewer end-of-day WhatsApp escalations about “where is this order”
Staff could continue work when the founder was offline
A codebase and credentials the client owns — no black-box lock-in
Client name withheld by agreement. We share deeper scope and references privately after a conversation — we do not publish invented percentages.
Discover
Map users, constraints and the metric that actually matters.
Design
Prototype the journeys before committing expensive engineering.
Build
Ship in focused iterations with security and visibility built in.
